When you move to a new state, you'll have to close your existing account and create a brand new account in the new state!
Since each state has its own tax rules and laws you cannot simply change the state listed on your account. Instead, we'll need to start with a brand new account in the new state. Don't worry, you can still use the same Federal Employer Identification Number (EIN).
When closing your account, please follow these steps.
When closing your account, please follow these steps.
-
If you haven't already, go to the Next Payroll tab and make any necessary adjustments for your employee. Anything that is in this tab will be paid to your employee.
-
After you have made the final payroll revisions, go to Settings->Add/Remove Employee. Here you will enter the employee's termination date. This must be a current day or some date in the future. This removes the employee as an active employee but their information and payroll history will still be accessible to you.
-
Please note that you can only use one email address per account in the Poppins system. So, you will need to use another email on the new account. This allows you to have two different accounts with the correct information tied to the correct state.
If you are a Gmail user, there is a hack where you can add a +01 to the end of your address and it will still send you emails to your primary email address.
-
Change the email on your existing state account from the email address of example@gmail.com to example+01@gmail.com
-
You will then be able to sign up for a new account with the email address of example@gmail.com
This actually works with anything, not just numbers! You could even enter it as example+oldstate@gmail.com.
To update the email address, go to Settings->My Account and then click Edit next to Login Info to change the email on your old account.
To terminate service, go to Settings->Cancel Account. Just removing your employee does not actually cancel your account. You will continue to have access to your filing cabinet after you cancel.
-
Here you can elect current quarter and year-end services. These are a la carte options and not needed to cancel your account, however, if you do not make these selections you will still have the liability to follow through with any quarter-end or year-end responsibilities.
-
We will charge $49 for the current quarter and $110 for year-end services.
-
These charges will be drawn from the checking account on file in 1-3 business days after selection.
-
We will send a reminder email when we will be debiting the quarterly liabilities from your account if you make this election.
-
We will send an email in the third week of January when the W2 and Schedule H are ready to download from your filing cabinet.
Once your current account is closed, you can start the signup process as a brand-new client in the new state!
